Volunteer Job Descriptions

There are several different volunteer options at Becca’s Beach Party Gymnastics Meet. Below is a brief description of the various jobs. Thank you for supporting the meet.

Meet Gym/Floor Area Set-Up and Tear Down Assistants

  • All workers must be at least 18 years of age
  • All workers must be physical capable of lifting and carrying gymnastics equipment (30 pounds or more)
  • This is a messy job so please come dressed appropriately
  • It is recommended you bring work gloves and a dust mask
  • Perform other duties assigned by the Gym/Floor Coordinator (Kenton Slayton)
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Admissions Assistant

  • Take payment for spectators entering the competition
  • Keep count of all spectators entering the venue
  • Provide scoring sheets to spectators (if available)
  • Once the session has started and spectators are no longer arriving help with general cleaning duties of the Admissions Area such as maintaining bathrooms, emptying garbage cans, etc
  • Perform other duties assigned by the Admissions Coordinator (Emily Johnson)
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Shoutout Assistant

  • Take payment for spectators purchasing Shoutouts for gymnasts
  • Keep count of all the types of Shoutouts sold
  • Once the session has started and spectators are no longer arriving help with general cleaning duties of the Admissions and Concessions Area such as maintaining bathrooms, emptying garbage cans etc.
  • Perform other duties assigned by the Shoutout Coordinator (Amanda Yates)
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Concessions Assistant

  • Sells concessions during meets prior to food vendor
  • Takes payment for food/beverages purchased at concessions stand
  • Keep count of all types of concessions sold
  • Once the session has started and spectators are no purchasing concession help with general cleaning/stocking duties of Concessions Area such as maintaining cooking area, refrigerators, and emptying garbage cans
  • Perform other duties assigned by the Concessions Coordinator (Kendra Slayton)
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Hospitality Assistant

  • Assist with the preparation and presentation of food for the hospitality room for coaches and judges
  • Run food and drink requests from judges during all sessions during sessions to floor area as needed
  • Once the session has started help with general cleaning/stocking duties of the Hospitality Room as maintaining seating/table areas, serving area, refrigerators, emptying garbage cans, etc
  • Perform other duties assigned by the Hospitality Coordinator (Stacey Vessels)
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Awards Assistant

  • Inventories medals and trophies for each session
  • Oversees distribution of awards at the meets
  • Directs gymnasts during award ceremony
  • Perform other duties assigned by the Awards Coordinator (Ashley Perry)
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Door Monitors (Small/Warm-Up Gym and Admin Office Doors)

  • Monitor assigned points of entry/exit to the facility and the competition floor
  • Direct spectators and athletes, coaches and officials
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Decorations Assistant

  • Responsible for setting up decorations (dividers, chairs, awards area, signage, etc).
  • Responsible for decorating judges seating area
  • Perform other duties assigned by the Decorations Coordinator (Deserae Goodman)
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Music Assistant

  • Computer/Sound system knowledge is recommeded for this position
  • Organizing and playing floor music as well as back ground music
  • Perform other duties assigned by the Gym/Floor Coordinator (Kenton Slayton)
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Score Runners

  • Runners are responsible to assist the Scoring Table as required
  • Throughout all sessions and event rotations, runners will be required to circulate between the Score Table and Judges’ Tables to pick-up and deliver score sheets to the Score Table
  • Stand/sit by the Score Table during periods of inactivity. Perform other duties assigned by the Gym/Floor Coordinator (Kenton Slayton)
  • Perform other duties assigned by the Volunteer Coordinator (Laura Orr)

Event Score Flashers (Vault, Bars, Beam, Floor)

  • Obtain score sheets from the team coaches as they arrive at your event; then make the score sheets available for the judges
  • During your session obtain gymnasts’ scores from judges then flash the gymnast’s scores to audience for 10-15 seconds minimum
  • Collect all score sheets once judges complete scoring the entire team and provide these to the Score Runners
  • Rotate with the judges of your when they move from Event A to Event B (exception will be on the Floor Event); ensure you take Score Flasher device with you during rotations
  • Maintain general upkeep of assigned scoring table(s)

Vault Timers

  • Reference specific duties found in the Timer’s Book at the Judges’ table
  • Coordinate with team coaches on the amount of time authorized for the team warm-up
  • Stand close to the event in order to be easily heard by the coaches and gymnasts
  • • After all gymnasts have completed their allotted time; notify the coaches and judges that warm‐up is completed.

Bar Timer (Small/Warm-Up Gym)

  • Reference specific duties found in the Timer’s Book
  • Coordinate with team coaches on the amount of time authorized for the team warm-up
  • Stand close to the event in order to be easily heard by the coaches and gymnasts
  • After all gymnasts have completed their allotted time; notify the coaches that warm‐up is completed.

Bar Timer (Large/Competition Gym)

A) TIMING OF THE WARM-UP TIME ON BARS

  • The touch warm-up time is 30 seconds per gymnast from the time the time the 1st gymnast touches the bars (excluding the preparation of the bars)
  • Verify with the judges the exact time allotment for each competing group
  • The judge will authorize the start of the warm-up
  • Stand close to the apparatus in order to be easily heard
  • Notify the judge when the full warm-up is over

B) TIMING OF A FALL ON BARS

  • Duration of the fall time on bars: MAXIMUM time is 30 seconds; failure to resume the exercise in time ends the exercise.
  • When the gymnast falls, start timing when the gymnast is on her feet after falling from the apparatus, and stop timing when the gymnast‘s feet leave the mat as the gymnast remounts the bars.
  • Loudly announce the elapsing time with audible verbal warning signals by stating 10 seconds, 20 seconds and 30 seconds at the respective times. As a courtesy count loudly the last 10 seconds of permitted time (i.e. 21, 22, 23…30 seconds).
  • At the count of 30, a final verbal warning signal of “Time” will be announced clearly and loudly by the timer
  • The judge will also announce that the exercise is ended

Beam Timers

TIMER # 1

TIMING OF THE DURATION OF THE EXERCISE AT BEAM. 

  • Reference specific duties found in the Timer’s Book at the Judges’ table
  • Duration of the exercise: MAXIMUM times are found in the Timer’s Book
  • Begin timing when the gymnast’s feet leave the springboard or mat.
  • Stop the clock when the gymnast touches the mat upon completion of her beam exercise (after dismount).
  • Ring the bell loudly and clearly as a warning signal ten (10) seconds prior to the maximum time limit and a 2nd time at the designated time limit
  • If the gymnast falls, stop timing when the gymnast touches the floor / mat, and restart (continue) after the interruption when the gymnast resumes her exercise with the first movement / element.
  • Report immediately to the judge when a time violation occurs; the exact time of the exercise must be shown on the stopwatch to the judge.
  • If there is no time violation clear the stopwatch and prepare for the next competitor.
  • Rotate with the Judges as they move between Beam A and Beam B

TIMER #2

TIMING OF THE WARM-UP TIME ON BEAM

  • Reference specific duties found in the Timer’s Book at the Judges’ table
  • Coordinate with team coaches on the amount of time authorized for the team warm-up
  • Stand close to the gymnasts in order to be easily heard.
  • After all gymnasts have completed their allotted time; notify the coaches and judges that warm‐up is completed.

TIMING OF A FALL ON BEAM

  • Duration of the FALL time on beam: MAXIMUM time is 10 seconds
  • When the gymnast falls, the timer starts the watch when the gymnast is on her feet after falling from the apparatus, and stops the watch when the gymnast’s feet leave the mat as she remounts the beam.
  • As soon as the gymnast falls and is on her feet, the timer reads loudly the elapsing time i.e. 1, 2, 3 ….10 seconds.
  • At the count of 10, a final verbal warning signal of “Time” will be announced clearly and loudly by the timer. The judge will also announce that the exercise is ended.

Floor Timer (Small/Warm-Up Gym)

  • Reference specific duties found in the Timer’s Book
  • Coordinate with team coaches on the amount of time authorized for the team warm-up
  • Stand close to the event in order to be easily heard by the coaches and gymnasts
  • After all gymnasts have completed their allotted time; notify the coaches that warm‐up is completed.

Floor Timer (Large/Competition Gym)

  • A bum touch warm-up time is 30 seconds per gymnast (2-3 floor passes each) from the time the time the 1st gymnast touches the floor
  • Verify with the judges the exact time allotment for each competing group
  • The judge will authorize the start of the warm-up
  • Stand close to the apparatus in order to be easily heard
  • Notify the judge when the full warm-up is over
